How to add users in PaperCut NG/MF
PaperCut NG and MF offer flexible methods for user population management depending on your network infrastructure and administrative workflow.
Synchronize users from a directory source
Automatically import and maintain users from your central directory service.
- Supported directory sources: There are many supported sources, like Microsoft Active Directory, LDAP, Google Workspace, Microsoft Entra ID (formerly Azure AD), Apple Open Directory, standard local accounts, and more!
- How to configure: In the admin web interface, navigate to Options > User/Group Sync.
- Key benefit: Keeps your user list up-to-date automatically by syncing new hires, group memberships, and status updates on a scheduled basis.
For more details, see: Synchronize user and group details.
On-demand user creation (during printing)
PaperCut NG/MF can automatically provision user accounts the first time an unlisted user sends a print job to a monitored queue.
- How to configure: Triggered based on your rules configured under Options > User/Group Sync > On-Demand User Creation.
- Configuration tip: Ensure your rules on the Groups tab (New User Initial Settings) are correctly configured. This ensures newly created accounts instantly receive their designated initial balance, balance limits, restricted features, and default group policies.
For details, see: On-demand user creation settings and New user initial settings rules.
Manual user creation (internal users)
Ideal for small organizations, test environments, or organizations without a central directory.
- How it works: Users are created directly within PaperCut as Internal Users, meaning their credentials and authentication are managed entirely within the PaperCut NG/MF system.
- How to configure: In the Web admin interface, go to Users > New User.
For details, see: internal users.
Bulk import options
For provisioning multiple non-directory users at once:
- Batch internal user import: Import or update internal user accounts in bulk using structured CSV/text files.
- Batch import standard users: Bulk import or update standard accounts via formatted batch files.
For details, see: Batch internal user import and update and Batch import and update Standard users.
