Multi-org login for admins

This page applies to:

What is multi-org login for admins?

Multi-org login for admins allows administrators to manage multiple PaperCut Hive and Pocket organizations (orgs) with a single email address.

No longer do admins need to create and manage different email aliases for each organization. With this feature, you use one email to sign up or be invited to new organizations, streamlining the login process.

Access multi-org login from the global login page. When you log in from this page, if your email address is associated with more than one PaperCut Hive or Pocket organization, you will be sent a one-time password (OTP) to validate your email address.

After actioning the OTP, you’ll see a list of all organizations associated with that email address.

Benefits

Multi-org login for admins provides many benefits for admins.

  • Simplified login process: use one email address to manage multiple PaperCut Hive or Pocket organizations.
  • Faster onboarding: admins can belong to multiple organizations and log in without managing separate email addresses for each one.
  • Improved operational efficiency: reduces the number of email addresses to manage, saving time and effort, especially for admins who manage multiple Hive orgs such as school districts or multi-location companies.
  • Enhanced user experience: avoids confusion or errors from managing multiple email addresses.
  • Reduces email alias complexity: no need to create or maintain multiple email aliases for each organization.
  • Minimizes login confusion: admins no longer have to remember different email addresses and passwords for each organization.
  • Simplifies email verification: only one verification process (via one-time password) is required, reducing the friction during login.
  • Eliminates the need for redundant email addresses: admins can use their primary email across all organizations, streamlining communication and reducing administrative overhead.

Real-world scenario: IT administrator who manages a school district

In this scenario, the school district has multiple schools, and each school has its own PaperCut Hive organization. The administrator needs to seamlessly change between them.

Before multi-org login, the admin had to create separate email aliases for themself for each school so they could access each Hive organization.

Now, with multi-org login they can use a single email address to access all school organizations. They only need to verify their email via a one-time password (OTP), which makes the login process much faster and simpler.

Best practices

Security considerations

  • Enable two-factor authentication (2FA) for an added layer of security, especially if your admins have access to sensitive data.
  • Use strong, unique passwords for your email accounts to prevent unauthorized access.

User setup

  • Ensure that each admin is invited to the correct PaperCut Hive organization(s) with their primary email address to streamline the login process.
  • Avoid using temporary email addresses that might cause verification issues.

System settings

  • Regularly review and update your system’s user permissions to ensure that admins can access only the appropriate Hive organizations.
  • Use the “Trust this browser” option when working from trusted devices to improve efficiency without needing to verify your email address every time.

Browser settings

  • If you choose not to trust the browser, be aware that you will need to verify your email address with an OTP on each new session.
  • If you experience issues with OTP validation, try clearing your browser’s cookie cache, as this can resolve problems caused by stored session information.

FAQ

What if I’ve already created unique emails or aliases for all my existing Hive orgs?
You can log in to each of those PaperCut Hive orgs and invite your primary email address that you would like to use for all of those orgs. Then delete the email alias that was originally added to that Hive org
What happens if I don't receive the one-time password (OTP)?
You can select the button Resend new code. Ensure you check your junk or spam folder in your email.
What happens if I try too many incorrect OTP attempts?
You will have to wait 3 minutes before trying again.
What happens if I selected 'Trust this browser' by mistake?

To be ‘forgotten’ in this browser, you must delete your cookies/clear your cache. You might also need to log out of the browser session entirely. This varies by web browser.

As a Reseller, should I be using Multi-Org Login for Admins?
If you are a PaperCut Reseller with a large number of organizations to manage, we highly recommend using PaperCut Multiverse instead of this feature. If you are not familiar with Multiverse, then please reach out to your Authorised Partner for access.
