Managing laptops/notebooks in a network/domain environment

Most networks need to support laptop/notebook users that use their computers both onsite (the network) and remotely (at home). PaperCut can Track Printing from these laptops. Administrators should however ensure the laptop’s owner has an appropriate identity (a user account) on the network domain, this account is use to authenticate and gain access to network resources.

Laptops should be configured so their owners login using a username/password combination. The account name (user name) is the key variable in matching a user identity to network access. Identities are usually managed using one of the following methods:

  1. Users have two accounts on their laptop. One used when they are on the network and one used at home/offsite. (a local account and a domain account)
  2. The user uses an account with the same username and password both for their network and domain identity. Authentication with the domain is easy (automatic) however care should be taken to keep the local and domain passwords in sync.
  3. Variations on 1 but both accounts share a single profile.

PaperCut software recommend option 2 combined with careful password management.

Administrators should ensure:

  1. Printer permissions only allow printing from authenticated users. (e.g. only allow access to members of the “Domain Users” or other equivalent group and ensure the Everyone account is not listed)
  2. Users are instructed on how to log in and locate and add printers.

Before a laptop user can print to a printer, they must first connect to the printer – usually done by locating the printer on the network, right-clicking, and selecting Connect.... Depending on the identity setup, the user will automatically authenticate, or will be prompted for a password during the process.

  • Administrators should ensure only authenticated users can use network printers by ensuring correct sharing permission on printers managed under PaperCut.
