Fresh Features Dropped! What's New in PaperCut Hive & Pocket (Q1 2025)

Alright IT Admins, we’ve been busy behind the scenes with PaperCut Hive and we’ve just launched a new batch of features and enhancements to help you tackle those everyday print management headaches. Grab yourself a coffee, and let’s dive into our Q1 2025 update!

Need to get print costs under control? Say hello to Print Quotas!

Is runaway printing hitting your budget? Are you driving sustainability initiatives? Is student printing getting out of control? Print Quotas give you the print control you need. This powerful feature lets you assign, track, and enforce printing allowances directly within the admin console for both PaperCut Hive and PaperCut Pocket.

You can assign financial allowances to users and easily top up or adjust balances manually when needed. Want to set it and forget it? Schedule automatic balance resets (like monthly) across your users. Define specific costs for different print attributes (like color, page size, duplex) for accurate tracking. You’ll see user balances and activity in real-time, and the system can automatically restricts printing if a user doesn’t have enough balance for the job. It’s taking control of your printing, without having to nag users if they get a little too familiar with hitting CTRL + P.

Juggling multiple PaperCut Hive tenants? Do it all from one email address!

PaperCut Hive login with organization selection

Do you manage print environments for different departments, client sites, or maybe you’re a Managed Service Provider hero? Keeping track of multiple different email addresses just to manage printing is a nightmare! Well, no more! With multi-organization login , you can now use your single, primary email address to access all of the PaperCut Hive or PaperCut Pocket instances you manage.

When you sign in via the global login page, if your email is linked to multiple orgs, we’ll send a secure one-time password (OTP) to your inbox. Pop that in, and you’ll see a list of organizations - just select the one you need. It’s the perfect solution for busy administrators overseeing multiple environments.

Printing in Zero Trust or segmented networks? We’ve added new delivery options to help. (PaperCut Hive only)

This feature is currently in beta and initially available for Kycoera and Lexmark devices. You can find more details about these new print delivery options in our Percolator article.

Zero Trust Network, MFD download job from the cloud

If you’re struggling with printing because you’ve implemented Network Client Isolation (hello, Zero Trust!) or moved printers onto separate VLANs, then the thought of opening firewall ports or routes from clients to printers is probably not what you’re wanting to hear. If you’re using Kyocera or Lexmark devices, then we’ve introduced two new delivery options in PaperCut Hive to give you a better solution (note, this will be rolling out to other manufacturers in the future).

Traditional office printing relies on the user’s computer ‘pushing’ the print job directly to the printer (often over protocols like RAW 9100). This needs a direct line-of-sight, which is exactly what modern secure networks prevent! It’ can also rely on the user’s machine being online at the time of print release.

Our new approach flips this script! We’re shifting to a ‘pull’ model where the MFD retrieves the print job on-demand, directly from your chosen source. This enhances security and resilience. We’ve got two options:

  1. Printer pulls job from the Cloud Node
    Perfect for Zero Trust setups where clients simply can’t reach the printer VLAN. The MFD securely pulls the job directly from the PaperCut Hive Cloud Node. No direct client-to-printer connection needed, no extra ports to open! It solves the challenge of enabling printing without compromising your network segmentation.
  2. Print pulls job from Local Client
    Need to ensure print job data doesn’t leave your network due to privacy or data sovereignty policies? Configure the printer to pull the job directly from a local PaperCut Hive client. This keeps data local, ensures performance, and respects strict data handling requirements.

You choose the best method per-printer via the admin console, giving you the flexibility while minimizing attack surfances and ensuring reliable cloud printing delivery even in complex network environments (initially available on Lexmark and Kyocera).

Ricoh MFDs feeling sluggish? Meet the speedy new embedded app! (PaperCut Hive Only)

Let’s be honest, no one wants to spend any longer than necessary standing at the printer and that’s why we’ve taken our Ricoh embedded app and given it a speed boost. We’ve completely rebuilt the PaperCut Hive Full Embedded app for Ricoh MFDs from the ground up. It’s engineered for speed while also creating a consistent experience with other manufacturers.

Deployment is a breeze with our new one-click installation. More importantly, your users will notice the difference immediately. They’ll get our modern, consistent UI and experience significantly faster performance. Happy users, happy admin!

Bringing Epson MFDs onboard! (PaperCut Hive Only)

Got Epson devices in your fleet and wished they played as nicely with PaperCut Hive as your other devices? Wish granted! We’re thrilled to officially launch our new PaperCut Hive Full Embeded app for Epson MFDs.

Now you can integrate your supported Epson devices directly, offering users that same familiar, intuitive PaperCut Hive interface they see elsewhere. Installation is quick with our one-click option. This new embedded unlocks features like Secure Print Release, Integrated Scanning (complete with OCR), and even swipe card login (when paired with a supported card reader) on your Epson machines. It’s all about providing a consistent, secure experience across your entire mixed fleet.

Setting up Okta SSO? We made it easy!

If you use Okta for identity management, configuring it as an authentication provider just got a whole lot simpler.

We’ve added Okta directly into the authentication setup wizard alongside Google Workspace and Microsoft Entra ID. BEtter yet, the setup page is designed to closely mirror the configuration fields within your Okta admin interface. It’s all about streaming the setup for faster integration.

Got Chromebooks? Onboarding just got an upgrade!

Ensuring a consistent experience across all platforms is key. That’s why we’ve extended our improved user onboarding flow to your Chromebook users!

Following the enhancements introduced late last year (like the slick new user portal), Chromebook users now benefit from the same streamlined, intuitive onboarding process as everyone else. Easier setup means fewer helpdesk tickets for you!
