Porter Dodson Solicitors & Advisors is a Top 200 mid-sized UK law firm with multiple offices based in Somerset and Dorset. 

Porter Dodson’s biggest industry requirement was ensuring paperwork, which was an ongoing challenge. The tricky part was the legal profession demands three different types of paper and Porter Dodson was running economically unviable desk-based printers. They sought a simple print management solution that would recover costs, improve security, and reduce their carbon footprint.

Problem

Printing is a major cost for the legal industry with a demand for safe and secure printing. Porter Dodson faced continuous challenges with managing and ensuring paperwork security. Desk-based mono printers were required to manage different in-trays and print three different types of paper: pre-printed letterheads for clients; blank paper for internal copies; and specialty archived paper for wills and other documentation. 

With local printers handling the majority of print jobs, management of paper usage was almost impossible for Ben Jenner-Hurford, the firm’s IT infrastructure lead.

Ben needed a solution that would recover costs, improve security, and reduce the company’s environmental impact. The maintenance of their desktop-based printers was a costly expense. Prints being left at the printer presented security risks. They had no way of monitoring the environmental footprint of their printing from desk to desk.

Moving their head office location provided an opportunity to shake up Porter Dodson’s printing environment. Their new open-plan space without room for desk-based printers meant they needed a system where they could implement Find-Me and release-based printing.

Ben engaged PaperCut reseller 1st Office Equipment who provided guidance and advice on the right solution for Porter Dodson’s pain points. Ben was familiar with PaperCut as an effective print management solution because he had previously worked in the education field.

“We had a couple of conversations with some suppliers and PaperCut came out on top,” says Ben. “Find-me printing was a key factor because we knew we wanted to reduce the physical number of printers on the floor given the office layout. We took a staged approach and rolled out PaperCut to our head office first.”

PaperCut MF was the simple and easy solution Porter Dodson was searching for. The implementation was smooth and painless, says Ben, “We have Ricohs and some HP MFPs, so having the PaperCut licenses being managed through them makes integration easier. It made the process very simple with less paperwork.”

Porter Dodson needed a simple and easy system to use for their staff, so their rollout was crucial to changing their staff’s existing workflows: “We started with three MFDs and then just scaled up as we needed to. It’s so easy, we just call the reseller and in a couple of hours PaperCut can be deployed on other machines.”

Since implementing PaperCut, Porter Dodson has quantified sizeable savings. “We run a monthly report on the number of print jobs not released,” Ben states. “We can see a saving of between 2,000-3,000 pages a month. On the old system that would cost us money.”

With PaperCut MF, Porter Dodson has increased visibility into their printing. This has allowed them to solve their pain points of cost, security, and waste. “PaperCut delivers on what it promises and has been very easy to administer and use,” says Ben. “Having more safety on our printing and documents has also been important.”
