This knowledge base article provides an overview/summary of the migration proceeder for organizations upgrading from PCounter to PaperCut NG/MF. Many sites move from PCounter to gain access to PaperCut’s richer list of features. The aim of this guide is to ensure the process is seamless for end-users by ensuring their balances are carried across.

PaperCut NG/MF supports a number of data import methods ranging from simple text file imports to scripting interfaces and programming APIs. Because data migration from a legacy system is a one time operation, a simple text file import will usually suffice and can quickly be managed using standard tools such as Microsoft Excel.

  1. Export the PCounter balances into a format that can be opened in Excel.
  2. Make sure the username is in the first column and the balance in the 2nd column. Leave all other columns blank.
  3. Save as a tab-delimited text file (important that it’s Tab Delimited rather than CSV)
  4. Import the file using Users->Batch Import...

More information on using the Batch User Import and Update option is covered in the user manual.

Printer costs and associated settings can not be migrated and should be set up in PaperCut NG/MF again. Tip: Once one printer is set up, use the Copy printer settings... to quickly apply to other like devices.

After your migration, we’d recommend taking some time to familiarize yourself with the plethora of features, many of which may be new for your printing environment. The best place to start is the following resources:
