Automatically generate Card/ID Numbers for users

“Help! I’m a PaperCut Administrator and I want to automatically generate Card/ID numbers for staff and students to use when logging into devices. How can we set that up?”

The topic of Automatic card/ID generation is well-documented in the manual, but from time to time we get questions about how to implement this. This article goes a bit further to describe with steps and screenshots how you can set this up.

Generating Card/ID Numbers for new users

Let’s say you want any new users imported into PaperCut NG/MF to automatically get assigned a Card/ID number so they can log into devices, and let’s also assume you want them to get a notification email with this number. Thankfully there’s a simple way to do that in PaperCut NG/MF:

  1. First, log into your PaperCut server as a PaperCut Administrator.
  2. Navigate to Options > User/Group Sync > Sync Source to check the box next to Auto-generate random primary card/ID number when blank.
  3. Next, to ensure emails get sent out to users, navigate to Options > Notifications > then check the box next to Notify users when their card/ID number is auto-generated.

Generating Card/ID Numbers for existing users

It’s not just new users who can have their Card/ID numbers automatically generated; it’s also possible to do this for existing users. If you followed the steps above to check Notify users when their card/ID number is auto-generated, then these users will also receive an email with their new number.

  1. First, log into your PaperCut server as a PaperCut Administrator.
  2. Navigate to Groups > Bulk User Actions.
  3. Select the group of users you want to create the generate the Card/IDs for.
  4. Scroll down to the Generate New Card/ID Numbers section and check Generate random primary card/ID number. Make note of the other options here which should be straightforward and self-explanatory.
  5. Click OK at the bottom of the page to generate new Card/ID numbers for that group of users.
